ACCESS, PASSES AND PARKING
2. During the week the parking is free. Friday, Saturday, Sunday
parking is $7 per car. Starting on Thursday March 4th the fairgrounds
will sell participants a parking pass for $7 good for all weekend.
You will need an exhibitor name badge to purchase this.
3. Exhibitor badges are limited to four (4) per garden.
STAGING AND MAINTENANCE OF ALL EXHIBITS
4. All entries must include fresh or dried plant material.
All exhibits must be kept in show condition. Plant material
must be kept fresh. Unsightly or wilted plant material must
be replaced.
5. Endangered or threatened species are designated on the United
States List of Endangered and Threatened Wildlife and Plants.
It is the responsibility of the exhibitor to make sure wild
collected species of these plants are not on exhibit.
6. There is no way to remove excess water. Water plant material
prior to bringing it into the show hall. Exhibitors are responsible
for watering their own exhibits but are cautioned not to overwater
or cause seepage into the aisles.
7. Pool and fountain liners must be constructed of material
of sufficient strength to prevent seepage.
8. No live animals are permitted in exhibits without prior
approval. No taxidermy is permitted.
9. All maintenance must be completed by 11:00 a.m. Friday,
9:00 a.m. Saturday and Sunday. Doors will open at noon on Friday
and 10:00 a.m. Saturday and Sunday.
10. The show management may remove an exhibit at any time if
deemed necessary. It reserves the right to reject any exhibit
if it is objectionable in any way or requires an excessive amount
of space. Management reserves the right to remove an exhibitor
who displays unethical conduct.
SAFETY
11. All material used in exhibits must comply to State Fire
codes.
12. Exhibitors
must guard against
leaks and overwatering.
13. Smoking is prohibited in the exhibit hall.
14. Any public access to gardens must meet building code and
ADA specifications.
SIGNS, SALES AND ADVERTISING MATERIAL
15. The show will provide a sign for each exhibit including
the name of designer, title of the garden, business and suppliers.
Forms will be distributed to exhibitors to provide this information
and must be returned to the Show Management by February 13,
2004. No other signage is permitted.
16. No material may be sold to the public during the show except
by paid vendors.
17. Westward Expos may use each exhibitor's information to
prepare and print a handout containing the description of each
garden and the credits that the Garden Masters wants to acknowledge.
18. Exhibitors may
distribute descriptive pamphlets and business cards at their
exhibits. All materials will be confined to one
location approximately
30" wide and 12" deep in the
front of the exhibit
and will be contained in an appropriate and discrete container.
JUDGING AND AWARDS
19. No one other than those authorized by show management will
be permitted in the hall where judging is in progress, and no
one may discuss exhibits with judges.
20. Decisions of the judges are final.
NOMENCLATURE
21. All plants must be correctly labeled. Points are given
by judges for accuracy, legibility and unobtrusiveness of labels.
22. Best of Show will not be awarded to an exhibit with more
than three minor mistakes in nomenclature nor to an exhibit
in which the plant material is not labeled.
REMOVAL OF EXHIBITS
23. Nothing may be removed from exhibits during the show except
with the approval of the management or at specific times stipulated.
24. No boxes or other removal containers are permitted in exhibit
hall until 5:00 p.m. Sunday, March 7. Nothing may be dismantled
before 5:00 p.m.
25. Exhibitors are responsible for guarding their exhibits
on Sunday, March 7 from 5:00 p.m. until removal.
26. All exhibitors and helpers in the hall must wear appropriate
name badge during the dismantling period as supplied by show
management.
27. Exhibitors
are responsible
for the complete
removal of their
exhibits. Anything
left after Monday,
March 8, may
be discarded.
DAMAGES & LIABILITY
28. Exhibitors who damage any part of the hall will be charged
with repairs.
29. Reasonable care will be taken to prevent loss or damage
to the exhibits but in no event will the San Diego Horticultural
Society or Westward Expos be held responsible for any injury
or loss that may occur. Valuables used in exhibits should be
insured by exhibitors.
30. Limitation of management's liability. Exhibitor will make
no claim against SDHS, Westward Expos, Del Mar Fairgrounds or
22nd Agricultural District and agrees that management shall
not be liable for any injury or loss or damage to exhibitor,
or to its employees, agents, property and business caused by:
(a) acts or omissions of any contractors (or employees or agents
of such contractors ) retained by management to perform services
in connection with the show, or (b) fire, theft, destruction,
or any occurrence not resulting from intentional misconduct
on the part of management (or its employees acting in the scope
of employment), whether occurring during show hours or the periods
designated for installation, maintenance, and removal of exhibits
and notwithstanding any negligence of management connected therewith.
31. Indemnification for Exhibitors' acts. Exhibitor agrees
to indemnify and save harmless SDHS, Westward Expos, Del Mar
Fairgrounds or 22nd Agricultural District, and each of them
from any and all claims of liability made by anyone for any
loss, injury, or damage to person or property, including death,
arising out of the conduct of exhibitor or its employees or
agents, and agrees to defend same against any such claims or
liabilities and to reimburse them for all expenses including
costs of settlement, incurred in connection therewith.
32. By entering an exhibit in the show, the exhibitor agrees
to abide by and be governed by the conditions set forth in the
foregoing rules.
GENERAL
33. All attendants at exhibits during the show must be neatly
attired, wear shoes and conduct themselves in a quiet and orderly
manner. Each garden is encouraged to design into their display
an area for a stool where the Garden Master may sit and discuss
the garden with the public during the show.
34. Management reserves the right to limit entries and display
thereof, to facilities available.
AMENDMENTS
35. Management reserves the final, absolute right to interpret
these rules and regulations. And, SDHS reserves the right to
amend or add to these rules, as, in its judgement, may be deemed
advisable.
